What is the Intake Portal?

The Intake Portal lets you create forms that people can fill out from a public link, without needing a BIDOR account. Think of it as a smart front door for work requests. When someone submits a form, BIDOR can automatically create a workflow from it, assign the right people, and start tracking it immediately.

Creating an Intake Form

  • Name and describe your form. Give it a clear title and tell people what it is for.
  • Add fields. Use the form builder to add text inputs, dropdowns, file uploads, checkboxes, dates, and more. Mark fields as required when needed.
  • Customize the look. Pick a brand color, add a welcome message, and write a custom success message that people see after they submit.
  • Publish and share. When your form is ready, publish it and share the link with anyone. They don't need a BIDOR account to fill it out.

Submissions Become Workflows

Enable "Auto Create Workflow" and every submission will automatically generate a new workflow with stages, assignments, and all the submission data attached. You can configure the workflow template so it uses the right stages and assigns the right people every time.

Form Settings

  • Public or private. Choose whether anyone with the link can access it, or only authenticated users.
  • Submission limits. Set a maximum number of submissions or a deadline after which the form stops accepting responses.
  • Notifications. Get an email every time someone submits a response, so your team can act quickly.
  • Anonymous submissions. Allow people to submit without providing their name or email if you prefer open feedback.

Managing Submissions

Every submission lands in your Intake Portal dashboard where you can:

  • Review submission details and attached files
  • Approve, reject, or mark submissions as in review
  • See which submissions have already created workflows
  • Search and filter by status, date, or submitter

Analytics

Track how many people view your form, how many submit, and your conversion rate. See submissions broken down by status and review recent activity at a glance.
